Equipment availability is only the first question. A dependable rental decision must also establish fitness for duty, compliance, mobilisation readiness and the real cost of the full hire period.
Translate the task into an equipment duty
Define capacity, reach, working radius, ground conditions, operating hours, environment and required attachments. For lifting equipment, provide load information and site constraints. For generators or compressors, specify output, fuel, redundancy and connection requirements.
Verify the physical asset
Request model, year, serial number, ownership status, maintenance records and current location. Confirm that the offered unit—not a representative catalogue model—will be available. Inspection before mobilisation is particularly important for critical-path equipment.
Check compliance and operating support
Review registration, third-party certification, insurance and site-specific requirements. Confirm operator competency, shift coverage, breakdown response and replacement arrangements. A low rate can quickly become expensive when support is distant or spare capacity is unavailable.
Compare whole-hire cost
Normalise mobilisation, demobilisation, minimum hire, overtime, fuel, operator, standby, attachments and damage terms. Clarify when charging begins and ends, and how off-hire will be acknowledged. Consider the schedule cost of late arrival or failure.
Plan mobilisation as part of the award
Agree transport, permits, route restrictions, lifting plans and site entry requirements before issuing the final instruction. Keep one owner accountable for supplier readiness through site handover.
