Accommodation is an operating dependency, not an isolated booking. Location, capacity, welfare, transport and meals must support the same workforce plan if people are expected to arrive rested and ready for work.
Build a live headcount plan
Forecast mobilisation, peak and demobilisation by trade, shift and gender where relevant. Include replacements, rotation, visitors and expected changes. A single maximum number is not enough to plan room allocation, catering or transport accurately.
Choose location against the work pattern
Consider journey time, shift start, site access, traffic and pickup arrangements. A lower room rate can create higher transport cost, longer working days and attendance risk when accommodation is too far from the workfront.
Verify facilities and welfare
Inspect rooms, sanitation, cooling, drinking water, laundry, recreation, medical access, housekeeping, waste handling and emergency arrangements. Confirm capacity and service conditions against applicable authority, client and project requirements.
Connect meals and transport
Meal cycles and bus schedules should follow actual shifts, overtime and rest days. Late programme changes must reach accommodation, catering and transportation owners together. Separate spreadsheets create mismatched headcounts and missed pickups.
Control the service daily
Track occupancy, arrivals, departures, housekeeping, maintenance, meal counts, transport exceptions and resident concerns. Assign clear contacts and response times. Records should support invoice verification and quick resolution when the workforce plan changes.
Plan demobilisation
Notice periods, room release, transport and final records should be aligned to the project curve. Controlled demobilisation prevents unnecessary cost and leaves accommodation ready for the next workforce cycle.
